Terms & conditions

a) Completed booking form together with a per person non-refundable deposit is required to secure the booking. Booking forms received with no deposit will not be considered a confirmed booking.

b) Cancellation policy, following final payment if a cancellation occurs within 45 – 28 days before departure a partial refund may be given. Any cancellations within 28 – 14 days before departure will be given on a motel and supplier’s discretion and individual refund policies. Cancellations made within 13 days of departure will be subject to a 100% cancellation fee. Travel Insurance is highly recommended.

c) No refund shall be made for any unused portion of the itinerary, any changes to the itinerary made by a passenger will be entirely at the passenger’s expense.

d) Tour prices are correct at time of printing but may be subject to change without notice for unforeseen circumstances such as higher motel prices or venues closing and replacing them with alternate venues. All tour costs include GST and exclude drinks, telephone calls, insurance or personal items.

e) A limited number of single rooms are available on each tour, additional cost occurs for sole use of a room. ‘Forced singles’ are not guaranteed by Southern Star Coaches and are only accepted according to the motel’s policy.

f) Dietary requirements and special need requests must be advised at the time of booking. All efforts will be made to accommodate the requirements and requests of the passenger, however Southern Star Tours cannot guarantee that special requests are always met. Any passenger with dietary requirements will be advised by Southern Star Tours to all venues prior to departure, however special dietary requirements cannot be guaranteed by Southern Star Tours and it is therefore the responsibility of the passenger to confirm with the venue upon arrival. Southern Star Tours will not be held responsible for non-supply of such meal.

g) Southern Star Coaches does not accept responsibility for financial loss or delays incurred due to services not being provided as listed in the itinerary due to circumstances beyond its control, including but not limited to, the cessation of trading by a service provider for any reason.

h) Force Majeure. Southern Star Tours reserves the right to amend, suspend or cancel any tour or component thereof due to circumstances beyond its control (force majeure). These circumstances may include, but are not limited to, extreme weather conditions, natural disasters, government directives, public health emergencies, industrial action, or unforeseen transport or supplier disruptions. In such events, Southern Star Tours will make all reasonable efforts to provide suitable alternatives or reschedule services; however, it shall not be held liable for any loss, damage, delay, or additional expenses incurred as a result. Where a tour cannot proceed, any applicable refunds or credits will be considered in line with supplier terms and conditions.

i) Southern Star Tours reserves the right for any reason to substitute the vehicle to the best alternative vehicle within reason and at its discretion.

j) As per the tour costing a minimum number of passengers are required to operate this tour, should these numbers not be met Southern Star Tours reserves the right to cancel the tour.   

k) It is a requirement of travel that all passengers must be physically and mentally capable of caring for themselves. Passengers requiring special assistance are welcome on board however they must be accompanied by an able bodied companion capable of providing all necessary assistance and do not require the assistance from Southern Star Tours personnel or other passengers on the tour. It is recommended passengers carry any medical scripts that may in an emergency require filling whilst on tour

l) Any passenger leaving the tour for any reason during the tour does so at their own expense.

m) Southern Star Tours whilst on tour reserves the right to alter or change the itinerary, in the best interests of the passengers, accommodation or carriers at any time for any reason. Whilst travelling we shall not be liable to any person taking the tour for loss, injury or damage to such persons or their belongings or otherwise in connection with any accommodation, transportation or other services or resulting directly or indirectly for any occurrences beyond its control including breakdown of equipment, theft, or cancellation or changes in itinerary or schedules etc.

n) Cancelations must be made in writing and are not effective until reached by the office of Southern Star Tours.

o) I give permission for Southern Star Tours to use any photos/images taken of me, or including me, whilst on tour to be used for the purpose of social media, advertising, and/or publishing.

Southern Star Tours highly recommends that passengers take out Travel Insurance to cover any unforeseen circumstances that may arise.
